Running an event means writing the same details five different ways: the event page, two social posts, a reminder email, and a text the day before. Then come the messages. “Is there parking?” “Can I bring my kid?” “What time does it start again?”
Artificial intelligence (AI) can take most of that typing off your plate. Here’s the cheap way to do it.
Write Everything From One List
Start with a plain list of facts: date, time, address, parking, price, who it’s for, and what to bring. Paste it into the free version of ChatGPT or Claude and ask:
“From these details, write a 100-word event description, two short social posts, a reminder email, and a one-line text message for the day before. Friendly, plain language, no exclamation points.”
You’ll get usable first drafts in under a minute. How much time that saves depends on how long you usually spend writing, but the bigger win is consistency. Every version has the same date and address, because they all came from one list.
Read every draft before you post it. AI sometimes “helpfully” adds details you never gave it, like a dress code or a free drink. Delete anything that isn’t on your list.
ChatGPT Plus and Claude Pro are each $20 a month if you hit the free tier’s limits, but a few events a month won’t get you there.
Answer the Same Questions Automatically
Before you pay for a chatbot, check Meta Business Suite, the dashboard for your Facebook Page and Instagram business account. Its inbox automations can:
- send an instant reply to anyone who messages you for the first time
- send an away message when you’re not available
- show a few frequently asked questions people can tap for an answer
- reply when a message contains keywords you choose, like “parking” or “tickets”
Keyword replies only work in the desktop version. Load your event facts into these replies, and most attendee questions get answered without you.
When You Outgrow That: ManyChat
If you run events often and want more than basic auto-replies, ManyChat builds automated conversations for Instagram and Facebook Messenger. Its free plan covers 25 active contacts a month, which is enough to test. The Essential plan starts at $14 a month billed yearly for 250 active contacts, and the price goes up as more people interact with you.
When This Isn’t Worth It
If you host one small event a year and get a dozen messages, just answer them yourself. Personal replies are part of why people show up.
And keep a human on anything involving money, refunds, or accessibility needs. Those deserve a real answer, not an automated one.
Your Next Step
For your next event, write the fact list first, then ask a free chatbot for every version of the copy in one go. While you’re at it, set up one instant reply and one “parking” keyword reply in Meta Business Suite. That’s about 30 minutes of setup that keeps paying off at every event.
